Back-in-Stock Alerts and Pre-Order Automation
Someone asking about an out-of-stock product has already searched, found and decided. Ending that conversation with we do not have it throws the intent away. A back-in-stock flow turns the same conversation into a sale that completes when the goods arrive.
Two Different Flows
| Back-in-stock alert | Pre-order | |
|---|---|---|
| Customer commitment | None, they just want to know | Payment or deposit |
| Fits when | Restock date is uncertain | Restock date is largely known |
| Risk | Selling out again before they click | Delays causing refunds and lost trust |
| Critical rule | Notify in queue order | Never overstate the delivery date |
If you are unsure about the restock date, do not take pre-orders. The disappointment costs more than the sale returns.
The Alert Flow
- 1. The customer asks; the system checks live stock.
- 2. If unavailable, the assistant offers an alternative, then offers the waitlist.
- 3. Product, variant and messaging consent are recorded.
- 4. When stock arrives, notifications go out in queue order.
- 5. The message links straight to completing the order.
- 6. Unclaimed slots are released after a set window and the next group is notified.
Steps four and six work together. Notifying fifty people about ten units leaves forty disappointed; staggering by available quantity protects both revenue and goodwill.
Timing
Send when the item is actually sellable, not when it reaches the warehouse. The gap between the two is how customers click through to a sold-out page. If stock lands overnight, hold the notification until a reasonable morning hour.
What the Message Says
Keep it short and state three things: which product and variant, how long it is held, and how to complete the purchase. If the price changed, say so in the message — discovering it at checkout is the fastest way to lose a won sale.
Pre-Orders: Managing Expectations
- Give a date range and quote the realistic end, not the optimistic one.
- Announce delays before customers ask; silence accelerates refund requests.
- State the cancellation terms up front.
- Decide between full payment and a deposit, and say which in the message.
- Honour the priority you promised when stock lands, or the list never works again.
Demand Data Is a Purchasing Signal
A waitlist is a free demand measurement. Report three numbers: people waiting per product and variant, purchase rate after notification, and the share who bought an alternative within two weeks — the last one tells you whether your alternative suggestions work.
